You are here : How To Use SigmaPro»Working with Projects

Project Details
The Project Details screen (visible by clicking on a project from the Projects List) contains all of the same screens as the Project Setup Wizard plus additional settings detailed below.

The Hidden Checkbox: Checking the Hidden checkbox will hide your project to all users who are not selected as a Project Manager or in one of the assigned Teams.

Project Templates: You may have projects that contains the same tasks, status codes, categories, etc to start with.  With SigmaPro, you don't have to create these projects from the ground up every time you start a new project.  You can make a project as a "Template" and then create new projects from that template in the future with the click of a button.

To create new templates, edit an existing project and check the “Mark As Template” option. This will mark the project as a template and it will appear in the Template list on the Project List screen.  Marking a project as a template does not directly affect the project. It only adds the project to the Project Template list on the project screen.

To create a new project from a template:

  1. Click on Edit Projects to open the list of projects currently in your system.
  2. Select the project template you want to use and then click “Create New Project From Template”
  3. The new project will appear in the Project List with the same name as the template and suffixed with a number indicating how many times the project template has been used.

When SigmaPro generates new projects from Templates, it carries over all attributes of the project including all existing issues and the attributes of those issues. This makes it possible to setup large projects that are continuously similar within a few seconds.  By default, SigmaPro recalculates the Due Date of tickets in the project to the current date plus 1. To change the number of days added to the Date Due field, set the “Days to Add to Date Due” in the Template Settings options of SigmaPro.  The owner of the new project is set to the user who generated the project. Not the owner of the Template.

Export All Issues to CSV: When you click this link, SigmaPro will collect ALL data in your project, export it to a comma delimited file and then send it to you as a download. Use this file as a backup or to import into another system (Microsoft Project).  You can also download a complete detailed listing of issues in your project from the main Issues/Task list of the project by clicking the Download XML link at the bottom of the list.  The XML Download is limited to your current filtered selection of data.

Export Statistics to CSV: When you click this link, SigmaPro will collect ALL statistics currently available in your project, export it to a comma delimited file and then send it to you as a download.

The Download Sigma Project File link will bundle your project into one file with the extension .OPJ (OnyakTech Project). This is a binary file containing 90% of the project information. Use these files to create new projects on another site, to restore a project or to download for local analysis with SigmaEx.  These can also be used as Project Templates.   Sample SigmaPro Project Files are available for download from OnyakTech.com.  These files can be uploaded from the Project List screen. During the upload, if a user referenced in the project does not exist in the portal the file is being loaded into then the current user account is used.

The Project Attributes fields (Budget, Estimated Savings, Actual Savings, etc.) in the Project Details screen are used for reference and reporting (used by the SigmaPro Dashboard module). You may not see these fields depending on the Project Type currently set.

Project Types are much like Status Code Types. They instruct SigmaPro on how to handle your project.

The Software Project Type will make your project visible on the Software Releases view of SigmaPro.  In Edit SigmaPro-->User Interactions you can enable the Software Releases view, doing this will override all other settings and SigmaPro will only display a list of tasks in Software Projects that have a Status of type Minor or Major Release.  This feature of SigmaPro allows you to display details of each software release without having to maintain your own listing.  Just add a comment to a task with a Major or Minor status type and save.

The Service Project Type will add a rating scale to the comments section of tasks in the core SigmaPro module and in the Help Desk add-on module.  This rating system is used by your customers to provide feedback and a support rating.

All other project types are used in custom solutions and are intended for future implementation into the public release of SigmaPro.

Project Forms are custom forms that have been assigned to the Project. You can display the projects forms on the Task List by checking “Show Project Forms” in the User Interaction screen of Edit SigmaPro.   To create new forms, click on the Forms Manager from the main SigmaPro Menu.  To display this menu, check the "Display SigmaPro Menu" in Edit SigmaPro->User Interactions and select the Full Menu.  A future release of SigmaPro will use H2O Forms in place of this current function.

Email Templates: Email Templates in SigmaPro give you full control over the information provided in email notifications.  You can change the subject and body of the email for all types of email notifications (New, Updated, Completed, New Comment, New Assigned, etc).  In the image to the left, you see the default settings.  To enable the Email Templates, select the Template Type, modify as you wish and click the Update Selected Template link.

To apply the current projects Email Templates to all projects in SigmaPro, click the "Apply Email Settings To All Projects" link.

New to SigmaPro 7.0, you are no longer restricted to the length of the Email Templates.  There are also several new Tags you can use in your Email Templates.  Tags are indicators to inform SigmaPro where you want specific information placed when the email is generated.  For example, the tag [PROJECTNAME] will be replaced with your actual project name before the email is sent out.  Take a look at the image to the left showing the template of the email subject, at the time the email is created it may look something like the following: "TKT3842 - EX2 Web Site - Data Conversion - Completed".

The Tags you can use are displayed below with a description of each tag.

Custom Fields in Email Templates:  As noted below, you can display the value of a custom field in your emails.  To do this, use the tag [CST::YOURFIELDNAME] replacing "YOURFIELDNAME" with the actual name of your custom field.  For example, if you have a custom field named Department, your tag would look like this: [CST::Department].  These tags are case sensitive.

When editing your email templates and inserting tags, make sure the Text/HTML Editor in DotNetNuke does not insert any HTML inside the tag.  You can do this by switching the view to Text or HTML mode.  If there is any HTML code within the tag, you will need to remove it before saving your template.
