Working with the Task List 

The image above is what the Task List will look like to Super Users, Administrators and anyone you selected to give Full Access (from the Settings module menu option).  The toolbars at the top, the Search By and Show All Items In All Project options are controlled by the settings you make in the Edit SigmaPro module menu.  The columns listed can be set by each user by selecting "Select Columns" at the bottom of the Task List and by setting the default columns listed in Edit SigmaPro->User Interactions.

My Personal Folders: Personal Folders allow everyone to store tasks from any project that into one or more folders for quick access in the future.  This is a great feature to use when you want to organize items from multiple projects into one location or need to quick access specific Tasks.   Each person can create an unlimited number of Personal Folders.  More details on this topic are available on another page.

Task Title and Last Comment (Full HTML Enabled) Tool Tips:

Hover your mouse over the "Title" or the "Last Comment By" columns for any row in the Task List to view the contents in a Tool Tip.  In the image to the right, the mouse is over the Last Comment field for the first Task.  The Tool Tip is displaying the last comment added to the Task including any HTML so that you can get a quick look at detailed task information without having to actually open the task.  Below is an image of the ToolTip displayed over a Task Title.


 

View Issue Template: This link will open the Template for the currently selected project.  It is only visible to Super Users, users with Full Access and only if the project contains a Template Task. Templates are used when tasks/issues are created outside the core SigmaPro Module (External application using the SigmaPro Web Service, Help Desk module, SigmaLive, H2O, etc.).  They contain the default values to use when creating new tasks without all field values.  For example, in SigmaLive you can post a chat session to a SigmaPro project with just a title and comments, all other information is taken from the Template Task.

To create a Template Task for a project:
  1. Select the project you want to create a Template Task for from the drop down provided in the Task List.
  2. Click the Create New button to create a new task and set all field values to the want all new tasks to have as default values.
  3. Check the Is Template option. This option is only visible to Super Users, Administrators and anyone with Full Access to SigmaPro.
  4. Click Save

Sorting the Task List: Each column in the Issue List can be sorted by clicking on the column header text. Clicking the column a second time will reverse the order from the previous order.

Filtering the Task List (Shown in Image on Right): Right-Click on a column header to filter the current Task List by a value in the column you select.  The values listed in the context menu that appears after right-clicking a column are taken from the current displayed list.  Any filtering you apply will be used when download the current Task List to XML (by using the Download XML link located at the bottom of the Task List).
 

Image Meanings: If you don’t know the meaning of an image displayed in the Task list, just hover your mouse over the image to get the associated value.

Personalize Columns Displayed: To hide/show columns from the Issue list, click the “Select Columns” link at the bottom of the list. Then check the fields you want to see and click Save. This information is saved in a cookie on your computer.


Relationship and Project Filtering: (See top image on left) Another way to filter the task list is by selecting the View Type showing in the first drop down in the image to the left and then selecting the Project in the second drop down.  If you are a Super User, Administrator or have Full Access to SigmaPro you will see a new option in the Projects list "All Projects".  By selecting "All" in the View drop down and "All Projects" in the Projects drop down you will be given a complete list of all tasks in all projects within the date range you specify (date selection shown in the bottom image to the left).

If a Project is marked as Hidden, only Team Members will see these projects in the Projects drop down.

You can control the items listed in the View and Projects drop down in the Edit SigmaPro->User Interactions module menu.

Date Selection: (See bottom image on the left) The date selection in the Task List provides a From and To date field with a pop-up date selection control to make date filtering easy.  To modify the date range, select your dates and click the Refresh link next to the date fields.  SigmaPro defaults the date selection to the last 30 days.

Download XML:  Now that you have your Task List filtered by date, column, sorted, relevancy and from one or more projects you may want to download the results to your computer for additional analysis or to create a snapshot of the current state of your projects.   To do this, click on the Download XML link at the bottom of the Task list.  Below you will see an image pointing to this link with the downloaded file open in Internet Explorer and in Microsoft Excel.
